Hotel Door Package RFQ Checklist: Frames and Hardware by Opening

Start with the opening, not a single hotel-door price

This checklist is for hotel developers, contractors, importers and purchasing teams preparing a multi-room door package. Group repeated openings by function, then give each group a door mark. A guestroom entrance, bathroom, connecting room and service opening may have different frame, finish, lock, seal or project-evidence requirements. A supplier cannot compare those groups reliably from one door photograph or an overall room count.

Begin with the hotel door collection to review available design directions. Treat the selected product as a starting point: the final leaf, frame and hardware combination must be confirmed against the project schedule and written quotation.

Record these fields for each door mark

1. Use and quantity: guestroom entry, bathroom, suite connector or service area; opening ID, number of repeated openings and installation phase.
2. Geometry: measured opening, proposed leaf size and thickness, handing, swing direction, finished wall thickness and any threshold or floor-level detail.
3. Leaf and finish: proposed construction and finish reference; state which side faces the corridor and whether adjacent doors need a coordinated appearance.
4. Frame and trim: new or retained frame, jamb depth, architrave or casing, seals and any existing-frame survey information.
5. Hardware: lock brand and exact model, approved preparation template, hinges, closer, viewer, access-control interface and who supplies each item.
6. Project requirements: requested acoustic or fire performance and the applicable project document. Ask for evidence for the proposed complete configuration rather than assuming a finish, core or product name proves compliance.
7. Delivery: destination, room or floor labels, receiving location, packing scope and required installation sequence.

If dimensions or hardware selections are not final, identify them as open items and request a provisional review. Do not substitute guessed specifications for the approved drawing.

Compare the same supply boundary in every quotation

Ask every bidder to mark each component included, excluded, buyer-supplied or to be confirmed. A practical comparison uses three separate scope levels:

• Leaf only: confirm whether frame, trim, seals, hinges and lock preparation are outside the quoted price. For replacement work, inspect the retained frame before assuming a new leaf will fit.
• Leaf with frame: identify the jamb profile, depth, trim, seals, threshold and whether components ship loose or assembled. A frame-inclusive quote does not automatically include a prehung assembly or installation.
• Specified hardware package: list models and quantities supplied, separately from machining or reinforcement. State whether the hotel, access-control contractor or door supplier provides locks, closers and other items.

Also separate samples, freight, unloading, site survey, installation and later replacement spares. A lower door-set price is not a like-for-like saving if these items are allocated to another party. Use the bulk door quote comparison guide for a wider commercial comparison.

Freeze lock preparation from the actual template

A hotel lock photo is not a drilling instruction. Request the selected manufacturer's current model-specific door and frame templates, handing, door-thickness range and any wiring or strike requirements. Record the document revision used for approval. The hardware supplier's template may change by lock function or revision; for example, dormakaba publishes separate lock templates and warns readers to verify function and indicator placement before drilling. Do not release a cut-out from a generic illustration. Where the lock, closer or access-control design is still undecided, price the door and any provisional preparation separately and flag the decision for review before production. Separate new-build and renovation openings

For a new-build package, coordinate the latest opening schedule, wall build-up, finish and frame profile before approving a repeatable room set. For an operating-hotel renovation, survey representative openings and exceptions: retained-frame condition, hinge and lock positions, leaf thickness, handing, threshold, finish differences and whether rooms remain in use. Decide who will resolve mismatches and who approves a first installation. A replacement slab is not automatically interchangeable with an existing door assembly.

Prepare an approval and delivery record

Before a repeat order is released, agree which sample, finish reference, leaf-edge detail, frame profile and hardware preparation will be approved. Mark the approved revision on the door schedule. Link carton or bundle labels to the same opening IDs and delivery phase so that frames, leaves and separately packed hardware can be reconciled at receiving. A packing proposal is not proof of a completed shipment; ask for the final packing list and evidence appropriate to the actual order.

Send a useful first RFQ, even if some details are pending

Send the room or door schedule, quantities by opening, available dimensions or drawings, desired leaf-and-frame scope, finish reference, selected hardware models or supplier, project destination and target phase. Identify required standards and documents without assuming approval. For replacement work, add photos and measured details of the existing frame and lock. State which inputs remain provisional so the quotation can clearly list assumptions and exclusions.

Send the hotel door schedule for a scope review. This opens the existing project enquiry form; a sketch and approximate quantity are enough to begin a review, with technical details confirmed later.
