Door Sample Approval Checklist: What to Confirm Before Mass Production

A sample is a decision record, not just a picture

Photographs can start a conversation, but a production sample should capture the physical details that affect installation and repeatability. The approval record should identify the sample version, door mark, finish, frame, hardware preparation and packaging notes.

Confirm what the sample is meant to prove

First label the purpose: colour sample, material sample, functional sample, complete door-set sample or site mock-up. A finish sample may not prove the frame, gaps or hardware. A complete door set may still need separate confirmation of the production packaging.

Check the physical door sample

Review the leaf size, thickness, flatness, edge treatment, corner detail, clearances, frame depth, handing and opening direction. Compare the sample with the approved schedule rather than relying on memory or a single photograph.

• Leaf and frame dimensions
• Edge banding, reveal and gaps
• Surface texture and gloss level
• Hinge, lock and closer preparation
• Threshold and bottom clearance

Review finish under useful light

Look at the finish under natural daylight and the intended interior light. Record colour reference, grain direction, sheen and the acceptable level of natural variation. If a sample changes after approval, create a new revision instead of leaving the change in an informal message.

Match the sample to the schedule and control revisions

Keep the sample photograph, door schedule, drawing, finish reference and hardware set code together. Any change to size, colour, frame, hardware preparation or packaging should receive a new revision number. Retire the older approval reference so it cannot be used accidentally on the production floor.

Release packaging with the product

Check corner guards, protective film, frame protection, pallet grouping and package identification. A package should make it clear which doors belong to which room type or door mark without exposing customer information or relying on unreadable handwritten notes.

Use the final approval record when requesting a quotation or confirming the production scope.
