Interior Door Delivery, Storage and Site Readiness Checklist

A practical handover checklist for bulk interior door orders, from unloading through storage to installation release.

Before scheduling a bulk door delivery, agree who will receive it, where the doors will be stored and what must be ready before installation. Inspect and record each delivery against the approved door schedule, separate unresolved items, and follow the instructions for the actual leaf, frame and finish supplied.

Who should use this checklist?

This guide is for importers, main contractors, fit-out teams and hotel or apartment procurement managers coordinating repeated interior openings. It covers the handover from arrival to installation release. For carton codes and packing-list design, use the separate door packaging and room-label guide; for checks before dispatch, use the pre-shipment inspection checklist.

The steps below are a proposed project control process, not a universal installation specification, warranty condition or certification. A WPC leaf, PVC-laminated timber-based leaf and painted wooden leaf may need different handling. Request instructions for the exact door set, including its frame and accessories.

1. Confirm a receiving plan before the truck arrives

Assign one receiving contact and one person authorised to decide whether an affected item can be released. Give them the latest door schedule, packing list, approved finish reference and delivery sequence. Agree an unloading area, access route, handling equipment and protected storage space with the site team before confirming the delivery slot.

For staged hotel or apartment work, identify which floors are ready and which remain active construction areas. If the installation dates have moved, review the delivery sequence or storage arrangement before dispatch. Do not assume that an empty room is a suitable store simply because it can hold the cartons.

2. Record condition and identity at receipt

CheckRecordIf something differs
Package countExpected and received quantities by packing-list lineReconcile missing or extra units before distributing them
Transit conditionPackage ID and photographs of wet, crushed or torn packagingSeparate affected items for a documented review
Door identityDoor mark, size, handing, finish and frame referenceCheck the approved revision rather than guessing the intended room
AccessoriesMatching frame, trim and hardware kit referencesKeep incomplete sets identifiable until the missing scope is resolved

Record both the overall package and the affected detail. Note when and where the issue was found and retain the labels. Follow the agreed contract and carrier reporting procedure; this checklist does not set a claim deadline or decide liability. A signed delivery count should not replace the separate product-condition check agreed for the order.

3. Obtain product-specific storage instructions

Interior wooden doors need protection from inappropriate moisture exposure. JELD-WEN UK's interior-door guidance calls for dry storage and warns against installing immediately after wet trades such as plastering. WDMA also identifies jobsite handling and storage as part of its architectural wood-door standards. Those sources explain why site conditions belong in procurement planning; their model-specific instructions must not be copied as VISFURN product limits.

Ask for the required storage orientation, supports, wrapping and ventilation arrangements for the actual shipment. Confirm any conditioning period and environmental limits in writing. There is no single waiting time, humidity range or stacking method established here for every wooden, PVC and WPC product. Keep storage instructions with the receiving record so a change of site team does not lose them.

A moisture-resistant face does not establish the tolerance of every cut edge, core, frame or hardware component. Compare interior door options, wooden door systems and WPC door systems against the room exposure and complete assembly, not just the surface description.

4. Use a release check before installation

  • Opening: the door mark and current site opening match the approved schedule.
  • Dimensions: finished wall thickness, frame depth and floor build-up have been checked by the installation team.
  • Condition: leaf, frame, finish and accessories have been reviewed before fitting.
  • Site: wet-work status and storage conditions satisfy the supplied product instructions.
  • Hardware: handing, hinge and lock preparation match the approved hardware information.
  • Authority: unresolved differences have an owner and written disposition before the affected item is used.

For a repeated door type, consider agreeing a first-installation review before releasing the rest of that batch. Record the opening ID and any approved adjustment, then distribute the same decision to procurement and installation teams. Do not trim, drill or alter a door to solve an unexplained mismatch. Rated or otherwise performance-specified assemblies require their applicable system documentation and authorised installation instructions.

5. Keep a short exception register

Use one line per affected opening: delivery date, package ID, door mark, quantity, observed issue, photograph reference, temporary storage location, responsible person, next action and release decision. Separate “awaiting inspection” from “approved for installation”. This is a proposed coordination record, not an assertion that every reported problem is a manufacturing defect.

For example, if a frame does not suit the finished wall depth, retain the door mark and compare the order revision with the site measurement. The resolution may involve the drawing, site condition or supplied component; photographs alone may not establish the cause. Avoid moving the set to another room without updating its identity and approved disposition.

Questions to settle before ordering

Can door sets arrive before the building is ready?

Only plan early delivery after the project team has confirmed suitable storage, handling responsibilities and product-specific conditions. Otherwise, discuss revised delivery or staging arrangements before dispatch.

Does PVC lamination make site moisture irrelevant?

No. Review the core, exposed edges, frame and assembly instructions as well as the face finish. Describe the actual room and site conditions when selecting the product.

Should every carton be opened immediately?

Agree the receiving inspection and wrapping procedure before shipment. It must allow condition checks while maintaining the protection required by the supplied product instructions.

Prepare a useful RFQ

Coordinate the door order with the delivery plan.

Send product type, quantity by door mark, sizes or drawings, finished wall thickness, frame and hardware scope, destination country or port, required project date, installation sequence and known storage restrictions. Include any project standards or documentation requirements. VISFURN can review the requested supply scope before confirming a quotation.
