Project procurement & operational handover

Project Door Handover, Spares and Maintenance Records

A procurement checklist for owners, importers and contractors planning door records, compatible spares and future replacement orders.

A project door handover pack should connect each installed opening to its approved door configuration, finish reference, hardware model and care instructions. Agree the required records and any spare items before ordering, then update the pack to match what was actually supplied and installed.

Who needs a door handover pack?

Hotel owners, apartment developers, importers and fit-out contractors need more than a delivery count when responsibility passes to the building operator. A replacement leaf, hinge or lock needs to match a specific opening. A photograph of a similar door does not establish its dimensions, preparation or component version.

This checklist covers operational handover and repeat purchasing for interior wooden, PVC-laminated and WPC door packages. For unloading and storage before fitting, use the separate delivery and site-readiness checklist. For work sequencing in occupied hotels, use the hotel replacement phasing guide. This is a proposed procurement process, not a product service manual or a promise that every document or spare is included in a VISFURN quotation.

1. Keep an opening register that survives project completion

Use the same opening ID from the approved schedule through to handover. Keep the final supplied configuration alongside it, including authorised changes made after the original approval. A drawing marked “approved” may still be out of date if the installed hardware or frame detail changed later.

Suggested records for the building operator
RecordWhat to retain
Opening identityBuilding, floor, opening ID, door type and installed quantity
Door and frameLeaf dimensions and thickness, handing sketch, frame profile, jamb depth and final drawing revision
FinishMaterial or coating reference, approved sample ID and available batch information for leaf, frame and trim
HardwareManufacturer, model, variant, finish, preparation drawing and whether each item was supplied with the doors or by another party
Care and serviceInstructions for the supplied surface and components, service contact and agreed responsibility for unresolved items

Store the pack in a location accessible to the owner's facilities team. Keep an issued date and revision on the register, and identify who maintains it. Public packing labels should not contain guest details, access codes or security credentials.

2. Request care instructions for the actual surface and hardware

A painted leaf, decorative film and wood veneer should not automatically receive the same cleaning or repair treatment. Ask for instructions covering the face, edges, frame and trim. For hardware, retain the selected manufacturer's instructions separately rather than copying one general lubrication procedure into every door record.

JELD-WEN UK's aftercare guidance distinguishes interior-door surfaces, finishes and ironmongery. The Lockwood DX service manual separately identifies parts and maintenance for its own lock series. These are examples of why model-specific documentation matters; neither source establishes the maintenance requirements of a VISFURN product.

  • Identify the surface material and the approved cleaning method.
  • Confirm restricted cleaning agents and any repair or refinishing conditions.
  • Record the hardware model and its applicable care instructions.
  • Ask the responsible supplier or installer to resolve missing instructions before adopting a site-wide maintenance routine.

For performance-specified openings, keep the relevant assembly documents with the record. Do not treat a visually similar replacement component as evidence that the original fire, acoustic, security or access requirements remain satisfied. Refer proposed changes to the responsible project specialist and the applicable system documentation.

3. Agree a spare-parts list by door type, not a blanket percentage

There is no spare allowance established here for every hotel or apartment project. Decide the items and quantities with the operator, considering repeated door types, local replacement availability, storage conditions and the impact of a room being unavailable. Ask for spare items as a separate quoted line so they cannot be confused with parts required to complete installation.

Questions to resolve before including spares in the order
Potential spareCompatibility information to confirm
Hinge or handle setExact model, size, finish, fixing arrangement and approved mating components
Lock or latch componentModel and version, handing, backset, faceplate and compatible strike; confirm the intended replacement scope
Seal or accessoryProfile, fixing detail and documented suitability for the actual assembly
Trim or finish sampleProfile and finish reference; agree whether the item is a service spare or a reference sample
Replacement leafDimensions, thickness, handing, edge detail and existing hinge/lock machining; do not assume nominal size is enough

For example, a hotel may have several door types sharing one colour but using different leaf thicknesses and locks. Record the spare against the compatible type codes instead of labelling it simply “guestroom spare”. This is a planning example, not a VISFURN project case or a standard spare package.

4. Separate supply, installation and service responsibilities

Before order approval, state who supplies the door leaf, frame and each hardware item; who fits and adjusts the assembly; and who supplies the care documents. An electronic-lock cut-out does not mean the lock, access-control software, commissioning or local support is included.

For hotel door packages, confirm the boundary between door supply and the hotel's lock or access-control contractor. For interior door orders and WPC door systems, record any buyer-supplied components before the preparation details are approved. The hardware preparation checklist covers those pre-production inputs.

Request the actual written warranty and service terms offered for the quoted configuration. This guide does not set a warranty period, response time, free replacement entitlement or local installation service. Document availability and any service scope must be confirmed for the order.

5. Prepare a repeat-order brief before requesting a match

For later additions or replacements, send the original order reference if available, opening ID, final drawing and finish-sample reference. Include current photographs of the door, frame and hardware labels, measured dimensions, quantity, destination and required project date. Explain whether the existing frame and hardware must remain.

Ask the supplier to confirm the current construction, component availability, preparation and finish match before placing the repeat order. An old quotation is a useful reference, not confirmation of today's price, availability or delivery time. If a component has changed, review the proposed substitution against the opening rather than approving it from appearance alone.

For a replacement that must match adjacent doors, agree how the finish will be assessed before production. Retain an identified sample where practical, and review it with the current site condition; photographs and colour names alone are an incomplete approval basis.

Handover review: five questions to close

  1. Does every door type map to an installed opening and a final configuration?
  2. Are leaf, frame, finish and hardware records consistent with the supplied items?
  3. Are the relevant care instructions available to the operator?
  4. Are agreed spares counted, labelled by compatible type and assigned a storage location?
  5. Are outstanding items, responsible parties and the route for a future replacement request recorded?

Record missing information as an open item with an owner. Receiving a folder is not the same as confirming that it describes the installed door package.

Buyer questions

Should spare hardware be included in every door quotation?

Ask for it where the operator needs it, specifying models and quantities separately. Do not assume “complete door set” includes operational spares beyond the components needed for installation.

Can a replacement leaf be ordered using only its width and height?

Width and height are only part of the brief. Confirm thickness, handing, edge detail, finish, hinge and lock preparation, and the retained frame. Use the final drawing or a measured survey where the original record is incomplete.

Does one cleaning instruction cover wooden, PVC and WPC doors?

No universal instruction is established by the material label alone. Request guidance for the specific surface, edges, frame and hardware supplied.

Plan the supply scope

Include handover requirements in your door RFQ.

Send the door type, quantities by opening or room group, sizes or drawings, frame and hardware scope, finish reference, destination and project timeline. List the handover documents and separately priced spares you need, plus any applicable project standards. VISFURN can review the requested configuration and confirm the available scope in its quotation.

Sources and scope

Reviewed 10 October 2026. JELD-WEN UK maintenance and aftercare illustrates product-specific surface and finish care. The Lockwood DX service manual illustrates model-specific replacement-part identification. These established manufacturer resources support the document-selection approach; they are not evidence of a new market rule, VISFURN certification, or VISFURN supply of those brands. The registers and checklists above are proposed buyer controls.
